Setup

Your steps, your words

A webshop works with Picking and Shipped, a course with Assigned and Placed, a repair service with Received and Ready for pickup. You set it up per form, and copy it from another form in one click.

  • Your own names and colors, in the order that fits your work.
  • Copy them from another form; they come along when you duplicate.
  • Choose columns: hide workflow status or labels when you don't need them.
Keep customers posted

An email at the steps that matter

Turn on an email for Shipped or Ready for pickup, and your customer hears about it right away. With your own subject and text, and the same placeholders as your confirmation email.

  • On or off per status: not every in-between step needs an email.
  • Placeholders such as {{werkstatus}}, the name and the order number.
  • In bulk too: set 40 orders to Shipped and 40 customers get notified.
Or ask the AI

Handle it in plain language

The AI assistant knows your statuses and labels. Ask which orders are still open, have it make a list, or move everything from yesterday to the next step in one sentence.

  • Look up: which orders are still on Picking?
  • Update: set everything from yesterday to Shipped, label #1043 as Urgent.
  • Set up: create the statuses Received, In progress and Done.

FAQ

Questions about workflow status and labels

How is this different from the payment status?

The system tracks the payment status (paid, open, refunded) by itself. The workflow status is yours: how far along you are in handling the order. The two are separate, so a workflow status never changes anything about your revenue, refunds or webhooks.

Does the customer get an email at every status?

No, only at the statuses where you turn on an email. It goes to the email address from the form, with your own subject and text.

Can I update several orders at once?

Yes. Select them in the overview and choose a status or label; it then applies to all selected submissions. Via the AI assistant you can also do it by filter, for example ‘all paid orders from yesterday’.

How many statuses and labels can I create?

Up to 20 statuses and 30 labels per form, each with its own name and color.

Do I have to set this up again for every form?

No. Copy the statuses and labels from another form in one click. If you duplicate a form, they come along automatically.

Are the workflow status and labels in my export too?

Yes, they appear as separate columns in the CSV export and when printing.
